Job Details Description POSITION SUMMARY The Associate Vice President of Administration is a key member of the executive leadership team and a strategic partner to the Executive Vice President & CFO. This role provides high-level leadership and direction across core administrative functions, including risk management, capital planning, procurement, compliance, reporting and oversight of managed venues. The AVP of Administration ensures that administrative systems, policies and practices are efficient, compliant, fiscally responsible and aligned with the organization’s mission and strategic priorities. Essential Functions Risk Management: Develop and oversee risk management policies and procedures, including insurance programs, business continuity plans and coordination of legal matters in partnership with external counsel. Capital Planning: Lead all capital expenditure (CapEx) planning, approvals and execution, ensuring projects are strategically prioritized, financially sound and completed on time, within budget, and to quality standards. Procurement & Contracts: Direct procurement strategy, vendor selection, compliance and contract administration to ensure transparent, cost-effective and responsible sourcing practices. Managed Venues: Provide leadership and oversight of PACA-managed venues, including personnel, financial performance, contract administration and external partner relationships. Compliance & Governance: Ensure compliance with applicable laws, regulations and best practices across all administrative areas; serve as staff liaison to governance committees (e.g., Audit and Finance). Strategic Leadership: Monitor and evaluate trends in governance, public-sector administration and business operations; recommend policy updates and implement best practices to strengthen organizational performance. Knowledge And Abilities Ability to maintain a physical presence at designated work locations, maintaining regular attendance, punctuality and work a flexible schedule including nights, weekends, holidays, and events, as needed. Able to communicate effectively in English, both in writing and verbally. Strong leadership, organizational, supervisory and interpersonal skills. Exceptional communication skills across executive and operational tiers. Risk management and compliance expertise Proficient in all aspects of procurement including vendor negotiations, contract management and administration Knowledge of public sector and nonprofit accounting and reporting requirements; familiarity with Florida Independent Special District guidelines is a plus. Proficient in Microsoft Office applications, accounting systems, HRIS, project management tools. Actively embraces new technology. Supervisory Responsibilities General Manager, Managed Venues (2) Administrative Assistant Desired Education And Experience Bachelor’s degree required; master’s degree in business administration, public administration, or related field strongly preferred. Minimum of ten (10) years in progressively responsible leadership roles in administration or operations. Experience in public sector, nonprofit or arts organizations preferred. Proven experience managing contracts, insurance, procurement, and administrative functions at the executive level.
